At 鶹ý, every printed page has an impact — and together, we can make that impact smaller.

Between September 1 and October 31, our campus printed over 1.6 million pages, consuming the equivalent of 147 trees and producing 15,610 kilograms of CO₂ — enough energy to power a light bulb for nearly 1 million hours.

Let’s do our part to reduce waste while maintaining efficient and sustainable printing practices.

Eco-Friendly Printing Tips

  • Print only when necessary. Before hitting “Print,” ask yourself if digital sharing or cloud storage could be a better alternative.
  • Use duplex (double-sided) printing. Nearly half of all campus prints were duplex — let’s push that number even higher.
  • Choose grayscale over color. 79% of our pages were printed in black and white — a great start! Try to reserve color printing for essential materials.
  • Avoid single-use print jobs. Combine documents into a single print session to reduce warm-up energy and idle toner usage.
  • Recycle responsibly. Use paper recycling bins in labs and offices to ensure used paper is repurposed, not wasted.

With 8,843 active users and 482 printers across campus, even small shifts in printing habits can lead to massive environmental savings. Whether you’re a student printing a paper or an instructor preparing class materials, being print-conscious helps conserve resources — one sheet at a time.

After this date, Windows 10 devices will no longer receive feature updates, bug fixes, or technical support. While systems running Windows 10 will continue to function, they will become increasingly vulnerable to security risks and compatibility issues. For University faculty and staff, this means that any University-managed devices still using Windows 10 will need to be upgraded or replaced to maintain compliance, data protection, and performance standards.

As part of this transition, the Division of Information Technology recommends planning for device upgrades or replacements during the current fiscal year. For department-purchased secondary, grant-funded, or start-up-funded devices capable of running Windows 11, contact your department’s IT support to upgrade them. For older hardware purchased outside of the Computer Lifecycle Replacement Program that does not meet Windows 11 requirements, replacement will be the most secure and sustainable option. Departments are encouraged to review their device inventories and budget for new hardware to ensure compliance. Early planning will help avoid last-minute disruptions and ensure continued access to supported, secure technology across campus.

Over the past few months, we’ve shared in our IT newsletters that computer replacements are temporarily on hold as we complete an RFQ process to select a new vendor. We expect to begin replacements in January, starting with the oldest devices first.

At this time, we’re waiting for proposals to be returned, with the intention of presenting our recommendation for approval at the December Board of Trustees meeting. Once approved, orders will be placed, and replacements will begin as soon as the new equipment arrives.

As part of our updated process introduced this summer, replacement requests must be submitted and approved before any orders are placed. This ensures that each new computer is tied directly to a specific user. While this means requests may remain in the system for a few months, this proactive approach helps us stay organized and ready to move quickly once replacements begin.

If your device is due for renewal, please make sure your replacement request has been submitted. If you’re unsure about your renewal status, contact your department’s technology liaison or the IT Service Desk for assistance.

If you’re currently experiencing computer issues that can’t wait until the replacement cycle begins, a loaner device will be provided so you can continue your work without interruption. To request assistance, please report your issue to the IT Service Desk or your local academic technology team so that proper troubleshooting can take place first.

Additionally, any analog fax lines that have remained inactive from January 2023 to January 2024 will be deactivated as of April 1st.

For departments actively using the fax line, please be aware that the monthly cost will increase to $25. While this may result in higher expenses for some regions, the new system aims to lower the University’s costs by reducing toner usage, repair expenses, and paper waste. Additionally, it will enhance efficiency by swiftly and securely delivering faxes, thereby decreasing the risk of unauthorized access to sensitive information. The cloud-based solution, operated via an application, presents a great opportunity for some departments to evaluate the current number of fax numbers in areas.

A member of Voice Operations (VOX) has started sending out individual emails to the fiscal agent of each affected fax line, which will contain the fax line in question.

Campus printing services unavailable from 2 p.m. to 3 p.m. today for emergency patch /information-technology/2023/08/08/campus-printing-services-unavailable-from-2-3pm-today-for-emergency-patch/ /information-technology/2023/08/08/campus-printing-services-unavailable-from-2-3pm-today-for-emergency-patch/#respond Tue, 08 Aug 2023 17:27:56 +0000 /information-technology/?p=23505 Information Technology will be performing an emergency patch and restart of the PaperCut print servers today, Tuesday August 8th, from 2:00 p.m. to 3:00 p.m.

During this 1-hour window, printing to campus networked printers and Sharp multi-function devices will not be available. 

The patch is necessary to address a critical PaperCut software bug that was identified by the vendor yesterday. Their recommendation is for all customers to apply the latest patch as soon as possible.  We thank you for your cooperation and understanding as we perform this necessary preventive maintenance work.

In order to ensure that new printers are compatible with the most current operating system, can connect to our print management system, and are secured, we will no longer be adding or supporting new printers outside of these standard models to our network.  It is important to note that wireless printers are not allowed at 鶹ý.

Effective November 2022,  the following models can be purchased through the MRA Punch Out on Workday. The models listed range in price and size and you can find more details here. (Please Note:  These models will change based on lifecycle)

Requests can only be made after a New Hire has activated their NetID prior to their start at 鶹ý.  All requests are subject to approval, and distribution dates are dependent on equipment availability. For these reasons, we ask that you process requests as far in advance as possible.

What is the Computer LifeCycle Replacement Program?

In order to ensure that University personnel have access to the current computing technology required to fulfill the responsibilities of their jobs, the “Computer Lifecycle Replacement Program” was instituted in 2003. The program provides for scheduled replacement of computers for full-time faculty, full-time staff, and specified computing laboratory facilities every 60 months. These requests are considered computers that are assigned as primary computers to the user and are not grant-funded, start-up,  or departmental computers.

Are there specific computers that I can choose from?

Yes, the University has standardized on a specific PC Laptop configuration that has been reviewed and approved by the Computer Lifecycle Committee. The program allows for a user to select from other non-standard configurations but in order to be considered, a valid justification that states the business case for a non-standard config must be submitted for approval.

Shift to Primarily Laptops as University-Assigned Equipment /information-technology/2021/11/17/shift-to-primarily-laptops-as-university-assigned-equipment/ /information-technology/2021/11/17/shift-to-primarily-laptops-as-university-assigned-equipment/#respond Wed, 17 Nov 2021 18:21:15 +0000 http://www.montclair.edu/information-technology/?p=22036 As the University is experiencing an expansion in flexible working arrangements along with more frequent unforeseen circumstances that may not permit being on campus, the Information Technology group is asking that all employees eligible for computer replacements or new computers select laptops rather than desktops.

Please also keep in mind that laptops acquired through research or startup funding are typically not managed by IT, and thus are generally less secure, so not recommended for University business involving sensitive data.

Going forward, we ask that there be justification for any desktop computer requests and Dean/VP approval.

The process will be the same as that in place for Apple or advanced configuration requests, as described in the Non-Default Workstation Request Process.

As few workstations could be replaced during the pandemic, there is now a high volume of replacements due.  This is compounded by broad supply chain issues that have driven lead times for Windows workstations to  4-6 months.

We ask for patience as employees await expected replacements.
